Forge Luxury designs bespoke Sri Lanka travel itineraries. This policy explains what personal information Forge Luxury collects through forgeluxury.com.au, why it's collected, and how it's handled.

1. Information Collected

Forge Luxury only collects personal information that a visitor chooses to provide. This happens when someone submits an inquiry through the contact form or emails directly. The information that may be collected includes:

• Full name
• Email address
• Group size
• Preferred or approximate travel dates
• Any details shared about the trip, preferences, or occasion

This site does not use cookies, analytics, or tracking scripts, and does not automatically collect browsing data, device information, or location data from visitors.

2. How Information Is Used

Information provided is used solely to:

• Respond to the inquiry
• Prepare and discuss a travel itinerary
• Coordinate bookings (flights, accommodation, chauffeur services, restaurants) where requested

Information is not used for marketing, advertising, or any purpose beyond responding to and fulfilling an inquiry, unless separately agreed to.

3. How Information Is Handled

Submissions through the contact form are processed through Web3Forms, a third-party form delivery service, which forwards the submission directly to hello@forgeluxury.com.au. Web3Forms may briefly retain a record of the submission in line with its own privacy practices, which can be reviewed at web3forms.com.

Beyond that, submitted information is stored in the Forge Luxury email inbox and is not shared with, sold to, or disclosed to any other third party, except where required to arrange a requested service (for example, passing a name and travel dates to an accommodation provider or chauffeur service to confirm a booking).

4. Data Retention

Inquiry and booking correspondence is kept for as long as reasonably necessary to assist with a trip and to maintain business records. A request to delete this information will be actioned, unless retention is required for legal reasons.

5. Rights

Anyone can request at any time:

• What information is held about them
• Correction of any inaccurate information
• Deletion of their information from records

6. Third-Party Links

This site links to an Instagram profile and to email (mailto) links. Once a link like this is followed, that platform's own privacy policy applies.

7. Payments

Sending an inquiry is free, there's no charge to receive a proposed itinerary or ask a question. If a detailed itinerary is requested, whether built out from one of the plans shown on this site or created as a fully custom itinerary, a $150 fee applies. If the trip is then booked in full through Forge Luxury, that $150 is credited toward the total cost, it is not an additional charge. If payment is made but the booking does not proceed, the $150 is non-refundable.

8. Changes to This Policy

This policy may be updated from time to time, for example if the contact form changes or a new service is added. Updates will be posted on this page.

Sending an inquiry, and paying the $150 fee to have a detailed or custom itinerary built, does not itself constitute a confirmed booking. This policy applies once a booking has been confirmed and payment has been made toward flights, accommodation, chauffeur services, or other arranged services.

Cancellations

Payments made toward hotels, chauffeur services, and other included services are refundable in line with each individual supplier's own cancellation policy. Forge Luxury does not set these terms directly and will pass on whatever refund the relevant supplier allows once a cancellation is confirmed.

In addition, a $500 booking and organising fee applies whenever a confirmed booking is cancelled, regardless of how far away the travel date is. This fee is not refundable and covers the work already carried out in planning, arranging, and coordinating the booking.

Later Cancellations

Cancellations made closer to the travel date generally result in a lower refund from suppliers, since most hotels, chauffeur services, and other suppliers apply stricter cancellation terms the closer it gets to departure. These terms are set by each supplier, not by Forge Luxury.

Keep Us Informed

If anything changes or a cancellation becomes necessary, Forge Luxury asks to be told as soon as possible. The earlier a cancellation is raised, the more can be done to negotiate with suppliers and recover as much of the payment as possible on the traveller's behalf.
